These Terms & Conditions govern all bookings made with Best Sri Lankan Tour ("we", "us", "our"). By making a booking, you confirm that you have read, understood and agreed to these terms.
1. Booking & Confirmation
A booking is confirmed once we receive your 30% deposit and you receive a booking confirmation email with your reference number (format: BKG-YYYY-NNNN). Until then, all quotes and itineraries are provisional and subject to availability.
2. Payment Terms
- Deposit: 30% of the total booking value, payable at confirmation.
- Balance: due 30 days before your travel start date. For bookings made within 30 days of travel, full payment is required upfront.
- Accepted payment methods: PayPal, bank transfer to our Sri Lankan account, or major credit cards via PayPal.
- Currency: all prices are quoted and charged in USD. Conversion to your local currency depends on your bank/card rates.
3. Cancellation & Refunds
Cancellations must be sent in writing to bestsrilankantour@gmail.com. Refunds depend on how far in advance you cancel:
- More than 60 days before travel — full refund minus 5% admin fee.
- 30–60 days before travel — 50% refund.
- 15–29 days before travel — 25% refund.
- Less than 15 days before travel — no refund.
Some hotel and activity bookings may have stricter cancellation policies; we will inform you of these at the time of booking.
4. Changes to Bookings
We're flexible — small changes (date shifts, room type changes, traveller name changes) can usually be accommodated free of charge if requested more than 14 days before travel. Major changes (significantly different itinerary or significantly fewer travellers) may incur additional costs.
5. Travel Insurance
We strongly recommend that all travellers purchase comprehensive travel insurance covering medical emergencies, trip cancellation, lost baggage and personal liability. Best Sri Lankan Tour is not responsible for any costs arising from situations covered by adequate travel insurance.
6. Visas & Documentation
Most nationalities require an Electronic Travel Authorization (ETA) to enter Sri Lanka. It's the traveller's responsibility to obtain valid ETA, passport (with at least 6 months validity beyond travel dates) and any required vaccinations. We're happy to advise but cannot apply on your behalf.
7. Health & Safety
You are responsible for being in a state of health appropriate for your chosen activities. Please inform us of any medical conditions, dietary requirements or mobility limitations at the time of booking so we can plan appropriately.
8. Liability
While we take every care in selecting hotels, drivers and activity partners, Best Sri Lankan Tour acts as an intermediary. We are not liable for delays, cancellations, accidents, injuries or losses caused by third-party providers, force majeure events (weather, political situations, natural disasters, pandemics), or actions of the traveller. Our maximum liability is limited to the amount paid for the booking.
9. Conduct
We reserve the right to terminate a booking without refund if a traveller's behaviour is deemed dangerous, illegal, or significantly disruptive to other guests, staff, or the public.
10. Photography
Photos taken by our team during your tour may be used for marketing on our website and social media. If you'd prefer not to be featured, please let us know in writing.
11. Privacy
Your personal information is handled per our Privacy Policy. We never sell or share your data with third parties beyond what's needed to deliver your booking.
12. Disputes & Governing Law
These terms are governed by the laws of Sri Lanka. Any disputes will be resolved through good-faith negotiation first; if necessary, in the courts of Colombo, Sri Lanka.
